Purpose: 

To ensure that all paid and volunteer staff receive orientation to the University of California Davis Student Health and Counseling Services (SHCS) department policies, procedures, compliance and safety mandated trainings. Supervisors provide position-specific skill assessment and training separate from this policy.

Policy: 

All staff receives orientation to the SHCS program and individual departments. Supervisors are responsible for the orientation of their staff.  Supervisors assure employees complete campus, SHCS and department orientations in a timely manner.

Procedure: 
  1. Shared Services Center Human Resources and Payroll staff provide information to new staff about the UC Davis New Employee online orientation for career staff and schedules employees that have benefits eligible appointments to attend the first available campus Benefits Orientation, a half-day class to educate new staff on University of California benefits.
  2. Shared Services Center Human Resources staff provides the UC Davis New Employee Checklist to the Supervisor. (Attachment 1) 
  3. SHCS Human Resources department requests Staff Development & Professional Services to assign mandatory compliance and safety training via the campus Learning Management System. (Attachment 2) Supervisor is responsible for monitoring that the employee completes all mandatory training. Training transcript filed in employee's personnel file by Human Resources department.
  4. The Information Systems Group schedules an orientation time for the new employee with the supervisor, typically the morning of the start date.
  5. Applications Support staff schedules Point and Click (PnC) training for the new employee with the supervisor. HIPAA compliance and Electronic Signature training are required to be completed prior to PnC training.
  6. Supervisors are responsible for providing department-specific orientation.  Records of this orientation are kept by the supervisor.
    1. Supervisors are responsible for providing appropriate orientation and training for paid and unpaid (volunteer) student staff. Records of such training are kept by the supervisor.
    2. Supervisors are responsible for conducting departmental and position training as required by other policies and the job requirements. Records of such training are kept by the supervisor.
  7. The SHCS HR Manager is available for supervisor guidance and information.
