Purpose: 

To state policies and procedures for Student Health and Counseling Services (SHCS) Website content management.

Policy: 

The SHCS Webmaster is responsible for SHCS Website development, production and maintenance.  The wording for the Website or page originates from the responsible person/department that requests the website production or revision.  The person or department that originates the wording is responsible for maintaining current, accurate information on that page, and determines how often the wording is reviewed for accuracy. 

Where appropriate, SHCS Webmaster will set-up editing access using web content management software.  This will allow for simple text and formatting of content by identified users. The Webmaster will require notification of all changes to website wording and scheduled reviews which result in no changes.  The Webmaster may require a review of content drafts prior to publishing.  New pages and directories are only to be created by the SHCS Webmaster unless otherwise noted.

Definitions: 
  1. SHCS Webmaster:  Marketing and Communications Coordinator or designee. (webmaster@shcs.ucdavis.edu)
  2. Responsible Person/Department:  The person or department who requests website development or revision.  The Responsible Person originates wording and content in the identified content area for the Website
Procedure: 
  1. The SHCS Webmaster keeps inventory of the content areas, subjects or web pages included on the SHCS Website.
  2. For each SHCS content area, subject, or web page a responsible person/department is identified.
  3. The Responsible Person/Department determines how often the content needs to be reviewed in their content area in order to maintain accuracy.
  4. The Responsible Person/Department determines the change protocol for the content area.
  5. The SHCS Webmaster receives notification of all changes to the content area as identified on the Content Inventory Form (see attached document). 
  6. The SHCS Webmaster receives notification of all reviews of content including reviews in which no change is made.
  7. The SHCS Webmaster creates new page and directories unless otherwise noted on the Content Inventory Form (see attachment).
  8. Software training related to website is coordinated with the SHCS Webmaster.
