Connecting Private Computing Devices to the Student Health and Counseling Services (SHCS) Network
Policy Number:
110-22
Effective Date:
November, 2014
Next Review Date:

Responsible Manager(s):
Information Systems Manager
Purpose:

To address the requirements needed to connect a private computing device to the Student Health Services (SHCS) local area network, and to ensure network security.

Policy:
  1. Private computing devices may not be connected to the SHCS network or computer systems without prior written request from the owner’s supervisor to and approval by the ISG manager or proxy.  Requests should contain an explanation of the business necessity for connecting the device. Requests should be submitted to the ISG Help Desk.
  2. Disconnecting any SHCS device/computer system from the network for the purpose of gaining access to the SHCS network or to the internet is strictly forbidden.
Definitions:

Computing Device: Laptop computer, Personal Digital Assistant (PDA), flash drives, smart phones, and other devices that could potentially introduce computer viruses, worms, Trojan horses, spyware or other malicious software (malware) into the SHCS computing environment.

Procedure:
  1. ISG may work with the requester to identify alternative methods of achieving their goals. Connecting a private computing device to the SHCS network is considered a "last resort" solution.
  2. If business necessity requires connecting a private computing device to the SHCS network and no alternative is found, the device must be turned over to ISG so that it can be secured. ISG will configure the device to comply with UC security and UC Davis CyberSafety requirements by testing the device for viruses, spyware and other malicious code, installing anti-virus software and operating system updates, turning on the device firewall (if not already on) and configuring the device to automatically patch the operating system. Once this process is complete, ISG may approve or deny connecting the device to the SHCS network.
  3. If approved, the ISG manager will notify the user of when to expect delivery of their computing device.
  4. If approved, ISG can assist the private computing device owner with connecting to the SHCS network and outside computing resources.
