Purpose: 

To assure that all Student Health and Wellness Center (SHWC) public postings are reviewed, approved prior to posting, and continue to be timely and appropriate.

Policy: 

All informational and educational materials posted for display in the Student Health and Wellness Center are reviewed and approved by the Executive Quality Assurance Committee, the Marketing Committee, the Clinic Management Team or the Executive Team. The Facility Manager manages facility department and directional signage.

Procedure: 
  1. Basic criteria for all postings (e.g. flyers, posters, notices) for display on SHWC bulletin boards (including electronic bulletin boards):
    1. Postings may promote:
      1. The services and resources of SHCS, including Health Education and Promotion (HEP) programs or Counseling Services Consultation, Outreach and Prevention Education (COPE) programs and
      2. other campus/community sponsored health and wellness resources and services.
      3. Specific health behavior messages that are priorities for SHCS COPE or HEP (e.g. safer sex strategies, wellness, alcohol/other drug risk reduction, positive nutrition/exercise habits, stress reduction, cultural and community health, etc.).
      4. Specific marketing messages or health and wellness initiatives of the University, Campus, Division or SHCS program.
    2. Postings may be developed and produced by SHCS or obtained from campus, community or commercial sources or the Student Affairs Marketing and Communications Center (SAMCC).
      1. All SHCS produced posting are developed and produced in consultation with HEP Marketing, Outreach and Educational Materials Specialist or the SHCS Marketing and Communications Coordinator.
      2. Postings submitted for display by Campus departments, SAMCC, clubs, or organizations must relate to SHCS health and wellness mission. These will be reviewed according to the above guidelines and prioritized for posting in relation to SHCS program postings.
      3. Postings from commercial sources must be free of commercial advertising or copyright conflict of interest in accordance with Program and University policy and legal compliance.
      4. Postings intended to notice or recruit for human subjects study participants must also comply with the provisions of SHCS Policy and Procedure 110-26 Support of non-SHCS Campus and University Research, Section E.
  2. Patient education materials posted on SHWC exam room bulletin boards:
    1. Posting materials with medical, psychological or technical information (e.g. immunization recommendations, signs and symptoms of illness/injury and recommended prevention or treatment) are submitted to the Clinic Management Committee for review and approval.
    2. Approved postings are stamped with a removal date and posted by clinic support staff under the direction of the Clinic Manager on designated clinic and exam room bulletin boards.
  3. Postings to SHCS lobby electronic bulletin boards:
    1. Electronic bulletin board postings must follow general content and submission policies outlined for print postings.
    2. All electronic bulletin board posting requests are submitted to the Marketing Committee for review and approval.
    3. Content must be provided in the appropriate format as determined by ISG and approved by the SHCS Marketing, Outreach and Communications Coordinator.

MAINTENANCE

  1. Clinic area managers oversee routine maintenance and removal of postings. Electronic Bulletin board postings are managed by ISG.
  2. Suggestions, requests, concerns, and complaints regarding any posters/displays on SHWC bulletin boards are directed to the Quality Improvement Manager or the clinic area Manager:
    1. Posters/displays are not to be posted, removed or modified by SHCS staff unless directed to do so by the Clinic Manager.
    2. Formal complaints are submitted in accordance with SHCS Policy and Procedure 170-10 Complaint and Compliment Process.
