Purpose: 

To state conditions for Student Health and Counseling Services (SHCS) to provide clinical or administrative services in support of campus and university research where the health and counseling program does not have a primary research role. 

Policy: 

SHCS provides services in support of campus and University research projects when program policy requirements are met.  The Executive Committee approves participation.

Procedure: 
  1. All studies requesting the participation of SHCS support services must provide the following information to SHCS:
    1. Written request stating Name and Purpose of the Project or Study
    2. Request includes specific services to be done by SHCS.
    3. Request includes name, department, and phone number of the principal investigator and contact person.
    4. Date that the UC Davis Human Subjects Review Committee approved the study or project and study expiration date
    5. Statement regarding subjects’ consent for services (whether consent form is signed at the department or at SHCS).
    6. Statement of mutually agreed upon recharge fee/rate for services requested.
    7. Recharge account to be charged for the services.
  2. For studies that require ancillary services without clinical care (e.g. blood draws), the requesting investigator or department provides the above information to the Director Administrative Services.
  3. For studies that require clinical care services (e.g. physical exams/nursing procedures or psychological services), a contract or MOU is made.  The contract/MOU outlines each party’s responsibilities, the rates that will be recharged, and any required documentation.  The contract/MOU is negotiated and completed before services can be provided.
  4. A copy of the agreed upon ancillary services list or the contract/MOU is given to Patient Billing Supervisor, and the department performing the service, e.g. laboratory, nursing, etc.  Patient Billing Supervisor determines appropriate methods for charge generation in consultation with the service or staffing supervisor and bills the appropriate research account.
  5. For researchers seeking only to post or distribute human subject recruitment information, all items of Section A 1-5 must be submitted for Program Director and Medical/Counseling Services Director review.
    1. Approval is granted by the Program Director contingent upon
      1. appropriateness for posting in designated SHWC facility locations per SHCS Policy and Procedure 110-03 Public Postings in Student Health and Wellness Center and
      2. compatibility of study activities with unobstructed student academic participation as assessed by the Medical/Counseling Services Director
